Workspace Settings Overview
Workspace settings control how a Supademo workspace is set up and managed.
This is where you handle things like the workspace name, inviting users, assigning access roles, billing, and security. In short, this is the operational backbone of how your team uses Supademo.
If you're on an Enterprise plan and use multiple workspaces, stick around after this lesson. The next video covers enterprise-level administration in more detail.
Membership Settings
For teams on non-Enterprise plans, membership settings are especially important.
One of the key settings here is Auto-Join Team.
When Auto-Join Team is turned on, anyone who signs up with an email address that matches your company domain can automatically join your workspace. When it's turned off, new users must request access, and an admin has to approve them before they're added.
This setting matters because role assignment affects billing.
If Auto-Join Team is enabled and someone joins with a Creator role, that seat is billed immediately. If you want tighter control over who joins and which roles they receive, it's usually better to turn Auto-Join Team off and approve members manually.
Account vs. Workspace Settings
It's also important to distinguish workspace settings from account settings.
Account settings apply at the individual user level. This is where someone updates their name, profile photo, and contact information. Notification preferences are also managed here, allowing each user to decide which emails they receive and when.
Workspace settings, on the other hand, apply to the entire team.
API and Billing
Workspace settings also include access to the Supademo API key, which is used to authenticate requests and connect Supademo to external tools or custom integrations.
Billing settings are also managed from Workspace Settings.
Billing admins can view invoices, update payment details, and change or upgrade plans directly from the Billing section.
User Management
User management happens in the Members section.
This is where admins manage users, roles, and licenses. Supademo supports license transfers, which means you don't need to remove and re-add users just to reassign a paid seat.
Admins can change a user's role, remove a user from the workspace, or transfer a license from one person to another directly from the Members tab.
Supademo Roles
Supademo roles fall into four categories:
- Admins have full access and use a paid seat.
- Creators can create and edit demos and also use a paid seat.
- Billing Admins are free seats and only have access to billing-related settings.
- Viewers are also free seats. They can view and share demos and leave internal comments, but they can't create or edit content.
In short, only Admins and Creators count toward paid licenses.
Removing Users
One important note before removing a user from a workspace: demo ownership matters.
If a user is removed without preparation, anything in their Personal section becomes inaccessible. Demos that live in shared areas remain available, but they stay attributed to that user.
Before removing someone, ownership should be handled by either duplicating important demos into another user's account or contacting the Supademo team to help transfer ownership. Once that's done, the user can be removed safely.
Security
The Security tab includes settings related to AI enhancement and compliance.
AI enhancement is enabled by default. This improves things like hotspot text quality during recording and helps generate clearer guidance. GDPR-related controls are also managed here.
Inviting Members
At any point within Workspace Settings, admins will see a green Invite Member button in the top-right corner.
Inviting a member allows you to enter their email address and assign a role up front. Roles are clearly labeled, including which ones use paid seats.
Invites are sent by email and expire after 30 minutes, but they can be resent at any time if someone misses the invite or it expires.
